Role summary
Oversee efficient management, provisioning, and maintenance of office furniture, equipment, fleet, administrative services, and facilities, including coordination of religious services. Ensure alignment with organizational needs, regulatory compliance, and environmental sustainability to enhance workplace efficiency, safety, and employee well-being.
Responsibilities
- Create and lead execution of strategic governance framework for workplace and support services, ensuring alignment with organizational goals and regulatory requirements
- Develop and track key performance indicators to measure effectiveness of governance and quality assurance processes, driving continuous improvement
- Oversee procurement, installation, and maintenance of office furniture, equipment, and catering services, ensuring alignment with organizational standards
- Manage office facilities, ensuring cleanliness, safety, and effective space utilization to meet operational needs
- Ensure workplace services are efficiently coordinated and delivered on time
- Oversee fleet operations, including vehicle maintenance, scheduling, and compliance with safety standards
- Manage procurement and allocation of vehicles based on operational needs, ensuring cost-effectiveness and regulatory compliance
- Manage coordination of religious services, ensuring Imam and Muezzin are scheduled and prayer facilities are maintained
- Ensure proper communication with religious personnel to align services with operational schedule and needs
- Oversee management of general administrative tasks, including reception, mailroom services, and office supply provisioning
- Ensure administrative services are aligned with operational requirements and maintain high service standards
- Engage with external stakeholders and service providers to manage service compliance, expectations, and communication
- Coordinate with internal stakeholders and external vendors to ensure successful project execution
- Guide and support workplace and support services professionals, fostering culture of excellence and accountability
- Offer mentorship and professional development opportunities to team members, promoting continuous improvement
- Design training and development programs to enhance skills and knowledge of the workplace and support services team
- Establish clear performance expectations for team members, provide regular feedback, and support achievement of goals
- Monitor and control unit budgets by tracking expenditures and identifying cost-saving opportunities
- Generate and present budget reports to senior management with insights and recommendations for financial planning
- Oversee compliance with workplace and support services standards, regulatory requirements, and best practices
- Manage industry best practices to enhance service outcomes and operational efficiency
- Regularly report to senior management on service performance, highlighting achievements and areas for improvement
Education
Bachelor's degree in Business Administration or equivalent
Experience
Minimum 8 years of total experience in Workplace & Support Management or a related field
